This policy describes how Syndicate Content, LLC collects and uses information in connection with our internal production and bookkeeping platform and its associated services, including our production text messaging program. The platform is an internal tool operated by and for our own businesses. It is not offered to the public.
Financial account data. The platform connects to our own business bank accounts through Plaid Inc. ("Plaid") to retrieve account balances and transaction history. By connecting an account, we grant Plaid permission to access that account's information. Plaid's handling of this data is governed by the Plaid End User Privacy Policy. We retrieve this data only for accounts we own.
Crew contact information. When production crew and staff complete our onboarding form, we collect their name, mobile phone number, and SMS consent status in order to send production-related messages to those who opt in.
Messages and receipt images. We store text messages sent to and from our messaging number, including call sheet confirmations and photos of expense receipts, along with the sender's phone number. Receipt images are used to match the receipt to a business transaction.
Invoice and vendor records. We store names, email addresses, and payment details of customers and vendors as needed to issue invoices, record payments, and meet tax reporting obligations (for example, IRS Form 1099).
We use the information above to operate our productions and keep our own books: distributing call sheets and schedule updates to opted-in crew, confirming receipt submissions, categorizing transactions, reconciling bank balances, attaching receipts to expenses, invoicing customers, paying vendors, and preparing financial and tax reports.
Syndicate's messaging number sends production-related messages — call sheet notifications, schedule updates, and receipt confirmations — to production crew and staff who have opted in. Crew opt in by checking the consent box on our crew onboarding form or by texting START to the number. We do not send messages to anyone who has not opted in.

We share information only with service providers that help us operate the platform: Plaid (bank connections), Supabase (database and file storage), Vercel (hosting), Twilio (SMS), Stripe (payment processing), and Anthropic (receipt text extraction). Each provider processes data on our behalf under its own terms. We also share information when required by law or to prepare tax filings with our accountant.
Data is stored on encrypted infrastructure with access limited to authorized personnel. Bank credentials are never stored by us; Plaid holds those. We retain financial records for as long as tax law requires, generally seven years. Crew contact information is retained while there is an ongoing working relationship and removed on request.
